Don't forget to check your room

Speak Schmeak

I've experienced two odd conference room configurations in the last month, and I thought I would share them with you. When I'm booked for a training, I send the organizer a diagram with my preferred room setup. But of course, you can't always get what you want, and I've ended up in some pretty weird training rooms. But many rooms not only have no option for a portable screen, they have no space for one, either.

Investor grumbling about corporate governance at Facebook is nothing new. Having both titles gave him almost absolute power at the social network. He is the decider.

I always suggest getting to know the audience and the venue in advance as part of our research and preparation. Checking out the venue in advance is frequently overlooked by beginning speakers, and here's why it shouldn't be. Whether it's the day before or a half hour before your presentation, visiting the room where you'll be speaking accomplishes one important thing: Making the room your own. But making the room your own is also an important part of preparation.

Most hotels have photos of their conference rooms on line; if they don’t, it is usually not that difficult to get the hotel or the event organizer to send you a couple. Three ideas from improv to improve your speaking

Speaking about Presenting

Advance and expand. Everything you say should either advance the action or expand on a specific event or emotion in the story. Avish coached me by shouting out either expand or advance as I told my story. Other times, Avish had me move on (advance) so that the story reached its climax faster and with more impact. You can do this as well with a partner, shouting out “expand” or “advance”. I’ve just finished a four day improvisational comedy course for speakers.

The blessed B key

PowerPoint Tips

If the room is dimmed, the white screen may seem a little bright, so I recommend using the B key. Create a black slide: If you know in advance that you will want to black out a slide, you can simply create a plain black slide and display that. Then, when you want to move on, advance to the next slide. Maybe calling it “blessed” is an exaggeration, but the B key is a great tool to use when you’re delivering a presentation.

Sometimes, teams gather together to watch a webinar in a conference room, but most people are sitting at their own computer. Traditionally, webinar services work in 2 ways: You upload slides in advance. When you deliver the webinar, you use the webinar’s screen to advance slides and you speak as you go. You advance slides as you would if you were presenting with a live audience and speak as you go. Are you a public speaker or trainer?

Speak Schmeak

At the beginning of the presentation, the speaker asked us to go around the room and introduce ourselves. My first thought was that, in a room of 25 people, this would take way too long and impede the progress of the presentation. And I realized that, because this seminar was about facilitating connections, it made perfect sense for the food industry audience to know who was in the room.

Are you making these rookie mistakes?

Speak Schmeak

Most experienced speakers use a microphone when there are more than 30 or 40 people in the room. If you're giving a PowerPoint presentation, the dead giveaway that you're a rookie is that you're standing behind the computer, pushing the "down" arrow key to advance your slides. You may be traveling from afar and don't get to see the room you're speaking in until a half hour before your presentation. There's nothing wrong with being an inexperienced speaker.

Put yourself center stage

Speak Schmeak

In rooms where there's a fixed or permanent screen, it's almost always in the center of the front wall. This means that the speaker has to stand off to the side or, in small rooms, in the corner (I've spoken from the corner of the room many times!). Just because the room is square or rectangular, there's no reason the audience has to sit square to the front wall.
