A basic floor plan of the speaking room that includes the location/orientation (North, South, East, West) of any windows and whether or not those windows have blackout shades or some other ability for reducing or eliminating sunlight. Confirmation as to how the temperature in the room can be adjusted, if possible. Confirmation as to whether there will be other events going on in adjacent rooms and, if so, details of the events.

We all know how important nonverbal communication is to presentations - facial expressions, tone, eye contact and so forth. When you’re a presenter, you know you’re in trouble when you arrive to find a room where the audience needs the Hubble Space Telescope to pick up your distant signals. It creates a barrier to communication and makes you look like something to be feared. Once the seats are filled, get the venue staff to add a few more at the back.

Check the room and test your equipment Visit the presentation room before anyone arrives. Get into the room and get comfortable with it. Another trick to make the story real for listeners in the room, if you are presenting any kind of statistics or numbers, is to express them in relation to the size to the audience or the population of the city where you are speaking. So you could say, “Every five minutes, 300 women, as many as there are people in this room, die in childbirth.” The speech turned into a communicators’ love fest. The audience was a large group of government communicators.

Get away from using bullets as the sole method of communicating your points. Show data on your slides only if the charts or graphs are simple, clean, and data points large enough to be seen in the back of the room. Other visuals might include props, toys, posters, videos or costumes, depending on the venue and the audience.

Small audiences can be okay, but if they spread out throughout a large auditorium, this will sap much of the group dynamic out - that feeling that a lot of people all made the same decision to attend, and are excited - that validates everyone in the room. The Venue - we plan to be in auditoriums and rooms that fit our audiences, but it doesnt always work out, as touched upon in #2.

If 200 people are in a room and you speak for a half hour, you are taking up 100 hours of people’s time. You should plan to arrive at the venue with plenty of time to spare and go to the room at least one hour prior to when you go on. You may need to arrive much earlier if there are sessions before yours because you will want to set up and test your equipment and stand on the stage to get a feel of the room.

Be empowering - My goal with building events is to put the right people together in a room. Great speakers, great content, great venue, great networking - all may still be in place. Some webinar tools like Adobe Connect have break-out room capabilities, and have always wondered if anyone has used them in a conference format. I'm sorry, but if you're charging over $1K for tickets, you have more than enough room for speaking fees. We did all of PodCamp Boston at a kick ass, first class venue, WITH some food and a party, for $35,000 TOTAL, for 450 people, and managed just $50 per person.

This just says to everyone in the room that you feel trapped up there. The faster we speak, the less likely we will communicate what we want to them. Sexual language and imagery isnot appropriate for any conference venue, including talks. one prominent member bellowed at me while I was speaking to one of his male friends in a roomful of colleagues. I will not forget that one of my professional groups turned its back on me when I complained about sexual harrassment at our conferences.
